This Privacy Statement has been developed in accordance with the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs) therein. This Statement explains how we collect, hold, use and disclose your personal information, which includes any information or an opinion about an identified individual or an individual who is reasonably identifiable.
By accessing any of our websites (Websites), using any of our software applications (Apps), or otherwise transacting with us, you accept the terms of this Privacy Statement. This Statement applies to all personal information we collect, whether through a Website, an App or by any other means.
1. COLLECTING PERSONAL INFORMATION
Why do we collect personal information?
We collect personal information to support the operation of our business and to provide you with our products, properties and other goods and services. We may collect personal information to:
• enter into contracts for property sales;
• enter into leases or evaluate whether a lease or licence should be granted;
• offer and provide you with other goods and services;
• manage and administer our properties and other goods and services, including for account-keeping purposes;
• establish records and systems to enable payment for goods and services;

• manage and process employment applications;
• provide the products and services offered on our Websites and in any other forum;
• provide content and services through our Apps, including any mobile or tablet applications;
• maintain video surveillance in connection with the management and security of our properties;

Please note that if you do not wish to provide us with your personal information, we may not be able to provide you with requested goods or services.
Whose personal information do we collect?
We may collect or hold personal information about individuals with whom we engage in the course of our business. This includes:
• Prospective, current and former clients;
• Associates of our clients, including employees, representatives or agents that liaise with us on behalf of a client;
• Individuals connected with our suppliers, partners, contractors and agents;
• Individuals who attend our events; or
• Individuals who apply for employment or contracting opportunities with us.
We only collect personal information that is reasonably necessary for our business functions and activities and we take reasonable steps to ensure the information we collect is accurate, up to date and relevant.
What personal information do we usually collect?
We collect a wide range of personal information relevant to the purposes outlined in this Statement. The type and amount of information collected may vary depending on the particular business context.
We may need to collect basic contact information for our clients, agents, affiliates, service providers and their employees for the purposes of conducting our day-to-day business activities. This can include (but is not limited to) details such as your full name, email address, telephone number, postal and physical address and billing and payment information.
We may also collect images and recordings of persons attending Cbus Property events through event filming and photography.
We may also collect your opinions from time to time, including as part of responses to surveys conducted by us or on our behalf.
We do not typically collect sensitive information about matters such as:
• your health or genetics;
• your racial or ethnic origin;
• your sexual orientation; or
• your religious beliefs or affiliations.
However, in certain situations, we may need to collect sensitive information about you. For example:
• if you have a physical disability, we may need to collect information about that in order to ensure that our properties are able to accommodate you; and
• we may need to collect information about the health of our employees in order to make appropriate workplace adjustments.
Where we do collect sensitive information about you, we will only do so with your consent or otherwise in accordance with the APPs.
We collect information about your interactions with our digital platforms, including our Websites, Apps and social media platforms. The section titled ‘Cookies’ below explains some of the tracking technologies we use in order to monitor interactions with our online presence. Additionally, we may also collect other digital identifiers, such as your mobile device’s advertising identifier when using our Apps.
Some of our Apps may use location data (for example, during registration) to provide targeted content. However, we do not store any location data associated with your usage of our Apps unless we explicitly inform you and obtain your consent.
How do we collect personal information?
We will collect and hold your personal information in a fair, lawful and non-intrusive way.
Where reasonably practicable, we will collect personal information directly from you. This may occur when you:
• correspond with us;
• speak to any of our employees;
• attend our functions or events, where photography or filming may take place; or
• use any of our Websites, Apps or other digital platforms.
We may also collect your personal information from our related and associated bodies corporate, as well as from third parties, such as agents, suppliers, contractors and recruitment agencies.
If someone other than you provides us with your personal information, we will take reasonable steps (where appropriate) to notify you (either directly or via the third party) or otherwise ensure that you are aware that this has occurred.
2. COOKIES
When you visit one of our Websites or Apps, our servers may place a small data file known as a ‘cookie’ on your device. Cookies help us understand how visitors interact with our Websites and Apps, such as the pages viewed most frequently and how users navigate our Websites and Apps. This information assists us with improving functionality, performance and user experience of our Websites, Apps and other digital platforms. You can configure your device so that it disables cookies or does not accept them.
Our servers may also record other information about or relating to you, such as the time and date of your visit or the IP address assigned to the device you are using to access our Websites or Apps. In many cases, we cannot and do not use this information to identify you personally. Rather, we simply use this information to improve our Websites and Apps.

Where we collect personal information for a particular purpose, we may use and disclose the information:

Without limiting the above, the following are examples of circumstances where we may disclose your personal information:
• Delivering products or services: depending on the type of product or service, we may disclose your personal information to a third party who provides or assists us with providing the product or service. Alternatively, if we are collecting personal information on behalf of a client, we may need to provide that information to the client so they can provide you with their product or service or information regarding their product or service.
• Relationship management: personal information about our agents, affiliates and service providers is used and may be disclosed for the purpose of managing the relationship with those individuals or entities.
• Event and promotional materials: photographs, film or audio recordings captured at our events may be released, published, exhibited or reproduced for use in news content, webcasts, promotional materials or advertising on our Websites, Apps, social media and other digital platforms, and for any other purpose reasonably required by Cbus Property in the conduct our business.
• Analytics: information that we collect about your usage of our digital platforms, such as Websites and Apps, may be disclosed to trusted analytics providers to help us understand user behaviour and improve performance.
• Intra-group disclosures: we may from time to time disclose personal information between different entities that are our related and associated bodies corporate.
• Legal purposes: we may also disclose personal information for other purposes without consent where required or permitted by privacy laws.
How will your information be used for direct marketing purposes and how can I opt out?
Where permitted under the Privacy Act, we may use personal information about prospective, current and former clients to send direct marketing communications about our properties, products, services, promotions and events that we believe may be of interest. You may opt out of receiving direct marketing communications from us at any time by unsubscribing directly from the marketing communications or by contacting us via the details below.
4. ACCESS TO AND ACCURACY OF YOUR INFORMATION
We take reasonable steps to ensure that any personal information held is accurate, complete and up to date. If you believe that any of your personal information is incorrect, incomplete or outdated, please contact us and we will take reasonable steps to correct it.
If you request access to the personal information we hold about you, we will respond to your request within a reasonable period and, where reasonable and practicable, give access to the information in the manner you request. You have a right to access the personal information we hold about you subject to any exemptions allowed under the Privacy Act. You may request this information by contacting our Privacy Officer via the details included below. If your request is particularly complex or requires detailed searching of our records, we may charge a reasonable fee for providing that information but we will not charge you any fee for making the initial request.
On the rare occasion that we are unable to provide access to, or correct, your personal information, we will provide you with a written explanation outlining our reasons for our decision, along with information on how you can make a complaint if you are not satisfied with our response.
5. TRANSFER OF INFORMATION OVERSEAS
We do not routinely disclose your personal information to overseas recipients (outside Australia), however there may be circumstances in which this may occur. Due to the nature of these arrangements, it is not practicable to specify the relevant countries which may be involved.
From time to time, we may engage an overseas recipient to provide services to us, such as cloud-based storage solutions. Please note that the use of overseas service providers to store personal information will not always involve a disclosure of personal information to that overseas provider.
If we do send your information overseas, we will take reasonable steps to ensure that the recipient of the information protects the security of that information to the standards required under Australian law.
6. SECURITY AND STORAGE
We will take reasonable steps to ensure your personal information is held in a secure environment and protected from misuse, interference, loss, unauthorised access, modification or disclosure.
We maintain appropriate physical, technical and administrative safeguards to protect personal information. This includes secure offices, access-controlled systems, password protection and other measures to restrict access to personal information and limit it to those who require it for legitimate business purposes. These safeguards also apply to the secure disposal or de-identification of personal information when it is no longer required.

By continuing to use our Websites, Apps, products, properties or other goods and services after any changes are made, you will be deemed to have accepted the updated terms.
8. COMPLAINTS AND FURTHER INFORMATION
If you believe your privacy has been interfered with and wish to make a complaint, please contact our Privacy Officer using the details provided below. We will respond to your request within a reasonable period, usually within 30 calendar days.
If you are not satisfied with the outcome of your complaint or you do not receive a response from us within 30 calendar days, you may make a complaint to the Office of the Australian Information Commissioner (OAIC).
